Planning an event with LYMB.iO is designed to be as dynamic and interactive as our products themselves. Here’s a step-by-step guide to what you can expect when booking an event with us—from the initial inquiry to post-event follow-up.

1. Initial Contact and Event Planning

The journey begins with a simple step: reaching out to our event department via the contact form at multi-ball.com or responding to our outreach. During this stage, we gather the essential details: What? Where? When? Who? These details help us tailor the event to your needs. Once we have the basic information, our event team enters the planning phase, ensuring everything is organized and communicated internally through our channels.

2. Location Setup and Customization

Next, we move into the specifics of setting up your event. This involves collaborating with both our event and game departments to finalize the setup at your chosen location. Here, you have the opportunity to select various customizations, from system languages (with 34 options available) to the display of your company logo and custom folders. If there are specific apps or customizations you need, this is the stage where those details are ironed out.

3. Onboarding and System Training (min. 1 week before event)

About one to two weeks before the event, our game department will conduct a thorough onboarding session with you. This session includes a walkthrough of the admin webpage and an introduction to all relevant software features. You’ll learn how to manage player queues, configure leaderboards, and handle any custom apps or menus you’ve requested. This ensures you’re fully prepared to manage the system during your event.

4. Customization Approval (min. 3 days before event)

If you’ve requested specific customizations—whether it’s a custom game, an asset flip, or a branded menu —this is when we’ll finalize those details with you. You’ll review and approve all custom elements, ensuring everything aligns with your vision before we move forward. We recommend a deadline of three days prior to the event for this, otherwise we can't guarantee a smooth process.

5. Final Preparations and Transport

As the event date approaches, our production team takes over, ensuring all equipment is prepped and ready for transport. This includes making sure the system is securely packaged and any special requirements, such as additional counterweights for outdoor setups, are met. We handle the logistics so that everything arrives safely and on time.

6. Event Day Support

On the day of your event, our team ensures everything runs smoothly. From setting up the system to providing on-site support, we’re there to help with any last-minute adjustments or troubleshooting. Whether indoors or outdoors, our systems are designed to adapt, and we provide clear instructions to ensure seamless operation, even in less-than-ideal weather conditions.

Finally, we’ll provide you with a hand-over, summarizing key points and ensuring you’re well-informed for the duration of the event.

7. Post-Event Follow-Up

Once your event is over, we don’t just pack up and leave. We’re interested in your feedback and would love to receive any event footage you capture—whether for social media, your website, or our game videos.
